Staffing Software and Agency Survivability and Profitability

Staffing Software and Agency Survivability

Q:In the current recession, Scott, your company has to be concerned with survivability. Do you see your staffing software as contributing to your ability to survive this recession; and, if, so, how significant is that contribution?

Scott: The first thing that comes to mind on survivability is that it allows us to staff down with ease. The more numerous and detailed objective tasks that our staffing software handles, almost automatically, allows key remaining staff to pick up these routine functions easily. They are still able to be engaged in our primary work of interviewing, matching employee skills with client’s needs, ongoing evaluations, and sales efforts.

Q: Still on staffing down, Scott, does anything else stand out?

Scott: Yes, and here is a rather significant one. Because our software’s integrated front and back office operations also integrates branch office operations, we recently were able to cut staff in a branch to the bare minimum and service that location, seamlessly, from our main office. That is the kind of flexibility we need in tough times.

Q:Great, but lets say you are in a down staff mode and you get “slammed”. A big job comes up, you would love to take it but can you pull it off without turning the place upside down?

Scott: That happened to us just recently and the results were extremely significant in terms of both survivability and profitability! We were in a down staff mode when a long standing client contacted us with a request to deliver 60 temps (three daily shifts of 20 people each) and we had to provide them within two days! Using our staffing software we searched our entire database for initially qualified persons and came up with a list of about 750.  But, to get to a bottom-line number of 60 deliverable employees, who were also interested and available, we needed to contact all 750 of them and get their responses! This was a huge time consuming job and especially for an agency in a “down staff” mode. Once on board, the sixty employees we could easily handle but getting to all of them and getting their responses was daunting, to say the least!

Fortunately, there was a new third party software tool, now fully integrated with our staffing software, called "InstaStaff". That amazing little tool automated the entire contacting and reporting process!

Fortunately, there was a new third party software tool, now fully integrated with our staffing software, called “InstaStaff”. That amazing little tool automated the entire contacting and reporting process! One person was able set up the operation in less than 15 minutes.  Within the next few minutes, the calls and e-mails started going out simultaneously and within another few minutes replies were coming back and being logged in a real-time report!  In less than one day we had positive responses from 80 people who were interested, and available. By the end of day two, we had 60 people working as the client requested. That was maximum efficiency; it enhanced our survivability and profitability. The staff time saved in very tedious work was enormous!

That’s a great story, Scott and right on target with our subject. Since you bring up the issue of profitability, let’s talk more about that.
